Overview:
Culmen International is looking for an experienced Contracts Assistant/Project Controls to join our corporate team!
You will play a crucial role in providing technical support to the PMO, Contracts, and Accounting/Finance departments.
Your expertise is essential in ensuring smooth project setup and charge code support using Deltek Costpoint and Unanet software.
Roles & Responsibilities:
Your responsibilities include completing contract data sheets, developing charge code structures, setting up projects, and updating project information in Culmen’s Costpoint system with updates to Unanet. By ensuring accurate project setup for billing through Costpoint, verifying contract value and funding accuracy, and aiding the PMO with charge code setup for monthly reports, you are integral to the success of our operations. Your dedication ensures timely project setup for charging and accurate monthly revenue calculations. Your contributions are vital to our success, and we appreciate your commitment to excellence.
- Collaborate with internal and external clients to set up projects as required, provide ad-hoc support and analyses.
- Setup projects and Costpoint and ensure Unanet is updated for workforce to properly enter their time. As well as ensuring the project set up/structure supports the billing requirements as specified in the contract (or by the client if not included in the contract)
- Assist in company initiative to automate all billings and revenue recognition through Costpoint and move away from manual prepared invoices and revenue adjustments
- Populate initial Contract Data Sheets and preliminary charge code structure to facilitate Deltek Costpoint Project Setup prior to internal Contract Kickoffs.
- Attend all Contract Kickoff meetings to ensure structure are setup correctly for Billing and Program
- Develops and disseminates communications regarding the project or program status
- Identify errors and issues (incorrect project set-ups, misclassified expenses) and notify the Project Controller to correct.
- Work well with and collaborate with Internal clients include Project Controllers, Program/Project Managers, operations managements, Contracts, and representatives from Accounting & Finance
- Responsible for line management in the event of non-compliance with the Company’s published financial policies and procedures
- Performs research and analysis in the development of program or project activities for one or more programs
- Defines program requirements, identifies interdependencies with internal or external departments or service providers
- Performs work independently under general supervision.
- Handles moderately complex issues and problems and refers more complex issues to higher-level Accounting and Contracts staff.
- Establish a business relationship with internal and external customers.
- Provide guidance and support to facilitate accurate and timely billing and prompt collection
- Identify and confirm invoicing requirements with the Finance, Contracts, and the Program/Project Manager(s).
- Collaborate with the Accounting, Program Operations, and Contracts to devise a project structure that considers billing requirements.
- Create and maintain billing files that include the base contract, subsequent modifications.
- Compare actual project expenses against contract terms and conditions and the Federal Acquisition Regulations for accuracy (POP, funding, billing rates, labor categories, un-allowable expenses)
- Project setup issues related to performance to the Project Controller, Program/Project Manager and Accounting & Finance
- Ensure compliance with the Company’s financial policies and procedures as they relate to invoicing and collections
- Serve as a liaison between the Program Managers and Corporate Project Accounting
- Continually assess ongoing processes to identify areas for potential improvement
- As required, participate in initiatives to improve processes (i.e. participate in working groups)

The determination of compensation at Culmen International, LLC is based on various factors such as location, the individual's unique combination of education, knowledge, skills, competencies, clearance level, experience, internal equity, contract-specific affordability, and organizational requirements. The projected compensation range for this position is $80,000 – $100,000 annually. This estimate represents the typical salary range for this position and is just one component of Culmen's total compensation package for employees.
