Schedule:  Full-time (Monday to Friday, 9am to 6pm AEST / but flexible for the right applicant)

About the Role:

As an acclaimed publicity firm that boosts brand visibility and credibility through strategic placements on global news sites, we are seeking an organized, detail-oriented, and tech-savvy Executive Assistant to support our dynamic CEO remotely. In this role, you will act as a vital facilitator, ensuring the seamless operation of our executive office while actively contributing to our mission of boosting client credibility, conversion rates, and search engine rankings.


Key Responsibilities:

  • Provide comprehensive administrative support to the CEO, including managing a dynamic calendar, preparing and coordinating virtual meetings, and ensuring smooth communication with internal and external stakeholders.
  • Prepare and edit internal and external correspondence, reports, and presentations, aligning with our firm's goal of enhancing brand authority and recognition.
  • Research, prioritize, and follow up on incoming issues and concerns, including those of a sensitive or confidential nature, and determine an appropriate course of action, referral, or response.
  • Utilize AI platforms like ChatGPT to streamline processes and improve efficiency.
  • Maintain up-to-date records in our CRM (HubSpot), ensuring accurate client information for generating targeted publicity strategies.
  • Handle sensitive information with a high level of confidentiality and discretion.

    Requirements
  • Proven work experience as an executive assistant or similar administrative role.
  • Exceptional knowledge of MS Office and English proficiency.
  • Outstanding organizational and time management skills.
  • Tech-savvy with experience in utilizing AI platforms like ChatGPT.
  • Familiarity with virtual communication platforms, office software, and applications (e.g., e-calendars), and comfortable working remotely.
  • Excellent planning and time management skills.
  • Ability to multitask and prioritize daily workload.
  • High-level verbal and written communication skills.
  • Discretion and confidentiality.
  • Experience with CRM software, preferably HubSpot (but not essential).
