Job Overview

To perform reception, administration, organisational and secretarial duties efficiently and effectively on behalf of the company and the flexibility to move to an alternative location as and when required within the client portfolio.

Main Duties

Help facilitate the through flow of personnel by managing access via the building entrance.

Lead in all contractors query onsite and be a landlord representative on site and look after their interest by logging all the building works via established systems and protocol.

Maintain a tidy and efficient work area, providing a prompt a courteous reception for visitors, telephone callers and other staff.

To handle customer enquiries made both over the telephone and in person, from both internal customers and members of the public, and route them accordingly.

Handling phone calls and distributing/taking messages as appropriate

Ensure all marketing literature in reception is kept current

Equipment calibration and record keeping.

Audit input.

Assist with operational reports.

To report back to the end user/customers on the progress of jobs they have requested

To assist with the ID Unit

To assist with any Security Projects and Pass Production

To comply in the Company's Policies, Management Plans and Procedures

To fulfil Health & Safety responsibilities by adherence to the requirements of the Company's Health & Safety Policy and Health & Safety Management Plans

To assist the Company's Quality Policy Statement and participate in the achievement of Company and personal Quality targets

To undertake such other duties appropriate to the level and character of work as may reasonably be required within the Department / Service. Significant permanent changes in duties will require agreed revisions to be made to this Job Description

To be responsible for ensuring that the Reception area is kept tidy at all times.

To maintain logs of messages, arrival of visitors and deliveries received.

To handle deliveries and couriered items in accordance with standard company and client procedures.

To prepare and issue visitors passes and maintain records, observing strict Government Security procedures.
